Position Title:  Customer Service / Sales Support Specialist

Location:         Dundee, Scotland      

Reports to:      Supervisor, Customer Care    

 

Position Summary:  

The Sales Support Specialist will contribute to the DFS process to enable the success of our commercial partners and distributors through world class leading customer support. In this role, the Specialist will build and maintain strong business relationships with our large customer base, manage orders received into the factory ensuring our internal and external customers’ expectations are met efficiently and to the highest standards throughout this process to final delivery.

 

 

Key Responsibilities:

  • Adhere to the DFS highest safety and compliance standards.
  • Receive, process and deliver customer orders and enquiries in line with requirements and expectations.
  • Liaise with planning and production to achieve the best possible delivery dates for our customers.
  • Review financial holds, process credit notes and liaise with DBS regarding financial queries.
  • Check progress of orders in production and advise customers of any ship date changes.
  • Arrange shipments as per order and customer specifications.
  • Create relevant export documents which includes Commercial invoice, Packing list, Export declaration, Certificate of Origin, CMR, A.TR, Airway bills and Bill of Ladings.
  • Issue relevant documentation required against Letters of Credit.
  • Liaise with freight forwarders for goods ready for dispatch.
  • Support customers or internal stakeholders with any enquiries.
  • Contribute to and maintain the value of 5S, standard work, problem solving and process adherence.
  • Compile and report daily standard KPIs.
  • Facilitate and contribute to RCCA and continuous improvement of processes and systems.
  • Special projects and assignments as needed or required.

  • Ability to work well as part of a team as well as on own initiative.
  • Proficiency in Microsoft Office package (Word, Excel, PowerPoint, Outlook.
  • Experience of Oracle ERP essential.
  • Knowledge of Letters of Credit, inspection certificates, export licenses and shipping documentation would be an advantage.
