POSITION TITLE: Project Intelligence Analyst
REPORTING TO: Senior Team Lead, Business Intelligence and Reporting
LOCATION: Cebu, Philippines
WORKING HOURS: Full time; working hours aligned with U.S.-based teams.
Summary Description:
The Project Intelligence Analyst is a critical contributor within the Market Intelligence & Strategic Pricing team of a leading refrigeration equipment OEM. This role serves as the team's eyes and ears on active retail refrigeration construction and renovation projects — reviewing architectural and refrigeration drawings, floor plans, and project documentation to identify equipment opportunities, validate specifications, track competitive presence, and ensure that internal stakeholders have the timely, accurate information they need to quote accurately, plan plant capacity, and protect margin.
Rather than a narrow sales-support function, this role is intentionally positioned within the Market Intelligence team so that project-level insights feed directly into competitive intelligence, pricing strategy, and market projections. Over time, team members in this role are developed toward broader Business Analyst responsibilities across pricing, competitive analysis, and strategic reporting.

How This Role Fits the Team:
The Market Intelligence & Strategic Pricing team supports multiple divisions of the organization with meaningful insights that lead to share gains, optimal pricing, and value propositions by:
• Actively monitoring & delivering competitive intelligence on market pricing, equipment trends, and relevant competitor information (e.g., pricing by Retailer, lead times, share, organizational or footprint changes).
• Monitoring & reporting on commodity pricing and working with teams to apply appropriate surcharges and pricing adjustments that protect business margins.
• Supporting bids, customer tracking, and divisional pricing strategy.
• Generating Power BI dashboards and high-level strategic analyses
• Conducting research that supports Product Management efforts and/or business opportunities.
• Providing market size projections utilizing forecasting models and insights with alignment across various stakeholders
• Delivering reports and presentations that translate intelligence into meaningful insights for leadership, internal teams, and customers.
The Project Intelligence Analyst extends the team's reach into the project pipeline — capturing ground-level data from construction drawings and project documentation before it flows into the quoting process. This creates a virtuous cycle: project data feeds competitive intelligence, competitive intelligence sharpens pricing strategy, and pricing strategy supports divisional margin performance and market forecast accuracy.
Key Responsibilities
1. Drawing Review & Equipment Identification
• Review architectural drawings, refrigeration plans, and store floor plans to identify and catalog refrigeration equipment opportunities.
• Cross-check equipment lists against project specifications to confirm completeness and flag any discrepancies between what the customer has specified and what is reflected in the drawings.
• Validate that equipment specifications align with current project requirements, flagging design changes or scope shifts immediately to the appropriate team members.
2. Competitive Intelligence Support
• Identify competitive equipment present in drawings and track competitor share on a per-project and per-customer basis.
• Document whether the company is capturing its fair share of equipment opportunities relative to competition and escalate any discrepancies to the appropriate stakeholders.
• Report competitive findings into the team's broader market intelligence workflow to inform pricing and strategic decisions.
3. Project Tracking & Communication
• Maintain active project trackers covering scope, construction & plant delivery schedules, equipment requirements, purchase order alignment, and revision history.
• Monitor for project changes, scope revisions, and construction schedule updates on a daily or as-needed basis, communicating changes promptly to inside sales, account managers, and relevant stakeholders any changes that may impact quoting timelines or project readiness.
• Align customer construction schedules with internal delivery schedules to prevent misaligned shipment timing, ensuring on-time delivery and protecting margin from costs associated with last-minute changes requiring rework or additional corrective actions.
4. Plant Capacity Planning Support
• Provide plants and divisions with at least 60 days' advance notice of anticipated equipment volumes from reviewed projects.
• Compile and communicate project pipeline data to support staffing and production planning at manufacturing sites, even for projects not yet formally quoted.
5. Inside Sales Coordination
• Rapidly translate reviewed project findings into structured, actionable information packets for inside sales teams responsible for formal quoting.
• Serve as a coordination hub between the field sales team, inside sales, plants, and divisional stakeholders — reducing delays and ensuring no equipment opportunities are missed.
• Free up field sales personnel to focus on upselling and customer relationship activities by handling the detail-intensive drawing review and project coordination work.
6. Reporting & Process Documentation
• Produce weekly project status reports covering projects reviewed, equipment identified for quoting, discrepancies identified and resolved, purchase order alignment, schedule changes, and open items.
• Maintain a documented record of all project interactions, revisions, and communications to support audits, process improvement, and knowledge transfer.
• Contribute to ongoing improvements in reporting templates, project health dashboards, and workflow documentation.
Required Skills & Experience:
Technical Skills
• Document Review & Information Extraction: Ability to review floor plans, project documents, specifications, emails, and supporting materials to identify key project information, equipment requirements, discrepancies, and revisions.
• Excel Proficiency: Proficiency in Microsoft Excel including VLOOKUP / XLOOKUP, filters, conditional formatting, pivot tables, and project tracker management.
• Cross-Document Analysis: Ability to cross-reference multiple documents (drawings, specifications, schedules, POs) to identify gaps, conflicts, or missing items.
Analytical Skills
• Analytical Thinking: Strong analytical mindset with demonstrated ability to review, interpret, and synthesize complex project documentation into clear summaries.
• Multi-Project Management: Experience tracking multiple concurrent projects simultaneously, maintaining accuracy and completeness across all.
• Attention to Detail: Ability to identify subtle details & discrepancies between drawings, equipment, specifications, and purchase orders that could impact cost or schedule.
Communication Skills
• English Proficiency: Strong English written and verbal communication skills — required. This role communicates daily with internal sales teams, account managers, plant personnel, and management.
• Stakeholder Communication: Experience documenting and communicating project updates to internal stakeholders such as sales teams, project managers, or account managers.
• Issue Escalation: Ability to communicate urgency and escalate issues clearly without creating unnecessary alarm.

Preferred Skills & Qualifications
• Experience reviewing technical drawings, floor plans, equipment specifications, construction documents, or blueprint layouts. Ability to extract information from technical documentation is a plus but not required.
• Experience in manufacturing, construction, retail build-out, or equipment supply environment.
• Familiarity with refrigeration equipment, cold chain, or commercial kitchen / grocery retail project workflows.
• Experience with Power BI, Tableau, or similar data visualization tools — even at a basic user level.
• Understanding of competitive analysis concepts or market intelligence workflows.
• Prior experience in a role that interfaced between sales, operations, or supply chain functions.
• Exposure to project management frameworks or tools (e.g., tracking logs, milestone management, construction phasing schedules).
• Bachelor's degree in Business, Construction Management, Supply Chain, or a related technical field — or equivalent practical experience.
