What the Role Involves:

 

A Project Coordinator is a Project Management Team member who supports Project Managers by overseeing administrative tasks, communicating with stakeholders, and ensuring resource availability for the project teamThey handle administrative tasks for the Project Manager and team members to keep the project running smoothly, such as ordering equipment and supplies, managing deadlines and workflow, and scheduling meetings and appointments. This position will report to the Coordination Manager. 

 

  • Partner with other Project Coordinators and Project Managers on daily activities.
  • Meet financial objectives by forecasting requirements, scheduling expenditures, identifying and implementing efficiencies, analyzing variances, and initiating corrective actions.
  • Manage subcontractor progress billings to include lien releases.
  • Work with Contractors and coordinate equipment delivery and schedules for projects.
  • Collaborate with the project team to understand and assist with tracking RFQs and orders, tasks, and project assignments.
  • Order and track project parts.
  • Maintain good communication with PM’s and Subcontractors to ensure timely and efficient job completion, communication, and proper documentation and tracking of the entire project lifecycle process.
  • Data entry, scheduling, and hosting conference calls and webinars.
  • Maintain contact with sub-contractors, vendors, and customers.
  • Interaction with other departments outside of the PM group, such as finance, shipping and receiving, scheduling, sales, and install teams as projects require.
  • Drafting and issuing project proposals, RFPs, budgets, change orders, and preliminary schedules for PM review and approval.
  • Knowledge of construction notice of commencement NOC documentation and job permitting documentation.
  • Issue Contracts, Letters of Intent, Purchase Orders, etc.
  • Provides regional support by developing and maintaining positive relationship with the internal departments, customers and vendors, for estimating programs and projects.
  • Track and manage change orders.
  • Ensure all required project close out documents are obtained.

 

 

Basic Qualifications:

  • High school diploma, college education or equivalent experience. 
  • Two to four years of experience in a projects-related or administrative/office role.

 

 

The Ideal Candidate:

  • Experience at working both independently and in a team-oriented, collaborative environment is essential.
  • Experience in creating agendas, correspondence, documentation, and presentations.
  • Microsoft Office Suite - Outlook, Excel, Word and Power Point, and capable of learning other personal computer applications (Vista Viewpoint and Procore)
  • Vast understanding of Job Cost Accounting.
  • Able to multi-task.
  • Good problem resolution skills to make decisions related to customer issues, and escalate to Coordinator or Coordination Manager. 
  • Follow up and follow through are critical elements in this position.
  • Flexible during times of change.
  • Persuasive, encouraging, and motivating.
  • Excellent customer service skills.
  • Strong written and oral communication skills, able to communicate effectively and expeditiously while maintaining professional conduct with all levels of the organization as well as third parties.
  • Effectively prioritizes and executes tasks in high-pressure environments, able to manage project adjustments and alterations promptly and efficiently.
  • Prepare and use excel spreadsheets, basic calculations and formulas.
