Supporting the operations, the role is central to the day to day running of the Dundee site.  Reporting to the Senior Executive Assistant, this is a key administrative role within a dynamic, growing business requiring a highly motivated individual.

 

The successful candidate will work alongside another Full-Time Receptionist/Administrator;

 

The main duties and responsibilities are as follows:

  • Meet and Greet visitors/external DFS employees and all associated tasks – providing PPE for factory tours, lunch tickets, ensure smooth sign in/out process.
  • Answering telephones – transferring calls, taking messages, recording staff absence calls for HR. Experience of ShoreTel telephone system preferred by not essential. Experience of a demanding, busy business switchboard is essential.
  • Managing Reception e-mail box, responding in a timely manner to varied queries from internal and external bodies.
  • Coordination of incoming and out going mail, including shipping parcels via UPS
  • Fire Role Call – Focal point for visitors during fire alarm
  • Travel – Invite letters, Hotels, shuttles, hire cars, local taxis
  • Managing Time and Attendance System – Kronos. Experience in this system or similar preferred.
  • New starts/Leavers Administration – tasks such as issuing clock in card, PPE, holiday card, locker key.

 Any other duties as required such as; replenishing meeting room stationery, lunch vouchers for visitors, daily security hand over, pool car book/keys owner, responsible key holder for building spare keys, managing spreadsheet for invoice handling, expenses for various depts.

 

Holiday cover for Executive Assistant – experience of Executive/Personal Assistant support ideal but not essential. To fully cover EA during periods of annual leave. Full support for 4 Senior Executives.

 

Candidate Experience:

  • Outlook, Word, PowerPoint and Excel is essential.
  • Handling events would be ideal but not essential.
  • Background in a  customer facing environment is essential. Warm, welcoming and the ability to stay calm under pressure is key.
  • This role is ideal for someone with previous Reception/Administrative experience who is hands on, willing to take on any task thrown at them and has the desire to grow within a global company.  
  • Due to the nature and urgency of this role, the ideal candidate will be able to hit the ground running with minimal supervision.
