Markem-Imaje is looking for a customer-focused HR Assistant who enjoys being part of an HR team that works collaboratively.  This position is primarily responsible for ensuring the timeliness and accuracy of all payroll activities and assisting with other HR administrative tasks, such as reporting, invoicing, and maintenance of employee files. This role also liaises with our corporate benefits team in support of Health and Welfare programs.

 

Responsibilities:

 

  • Serves as regional payroll contact for approximately 700 employees in partnership with corporate payroll team. Answers employee inquiries, liaises with managers on timecard issues, distributes payroll communications, and responds to monthly payroll audit report requests.
  • Active role with time tracking system; trains employees and managers (ADP payroll & eTime Portal).
  • Maintains accurate and up-to-date HR files, records, and documentation.
  • Provides administrative support to the HR department.
  • Supports corporate Health and Welfare programs – US and Canada.
  • Conducts or assists with new hire orientation.
  • Partners with Finance team on monthly, quarterly, and annual reports.
  • Responsible for submitting all HR invoices to A/P and following up on any inquiries.
  • Maintains data in Human Resources Information System and timekeeping system, generates reports from systems and resolves systems-related issues.
  • Responsible for maintaining the employee records management system.
  • Provides back up support for site HR team members and supports HR projects as assigned.

 

 Experience/Skills:

 

  • Associates degree in business administration preferred
  • 3+ years’ experience in administrative role; human resources team experience a plus
  • Proficient in using MS Office applications such as Word and Excel
  • Experience working with payroll systems desired
  • Strong verbal and written communication and customer service skills
  • Highly motivated and team oriented with ability to collaborate and work in a matrix environment
  • Ability to prioritize and manage workflow and to work independently
  • Maintains a high level of confidentiality
  • Identifies and resolves problems in a timely manner by gathering and analyzing information
  • Commitment to excellence and high standards
