Logistics Coordinator

Job Summary:

Coordinates logistic activities of the organization. Determines appropriate methods and procedures for transportation of product and determines best methods available for most economic shipping practices. 

 

Major Responsibilities/Activities:

  • Arrange and coordinate all shipments with new Dover selected carriers for both LTL and full truckloads.
  • Maintain relationships with Dover Transportation Team and new Dover selected carriers.  Participate in any Dover Transportation related events or meetings.
  • Communicate with Belanger Distributors regarding delivery dates and times of equipment.
  • Coordinate shipments with Order Entry and Sales personnel to ensure proper sequence of orders for crating and shipping.
  • Ensure final quality of machines by verifying that testing was completed, parts are included, and documentation is complete.
  • Verify receipt of order payment with Accounting and/or Sales personnel prior to shipping.
  • Coordinate with accounting personnel to ensure all jobs are closed out before completing shipping transactions.
  • Complete and/or monitor all necessary paperwork, including generating packing slips and bills of lading.  Resolve discrepancies or issues related to job paperwork.  Communicate any inventory discrepancies to team lead of applicable work area.
  • Monitor any backorders or shortages and ship backorders on timely basis.  Communicate backorders with appropriate distributor personnel.
  • Enter shipments into Salesforce.com and complete shipping order packet prior to sending it to Sales personnel and Accounting personnel for invoicing.
  • Maintain Belanger’s Export Compliance program.
    • Update items in Syteline with HTS classifications and Country of Origins for International shipments.
    • Complete NAFTA analysis for any new products to ensure compliance.
    • Ensure all export compliance rules and policies are followed prior to shipping any International parts orders and equipment orders, including screening new customers in Visual Compliance
  • Complete all International documentation required for shipments including commercial invoice, shipper’s export declaration, customs invoice, etc. Coordinate and complete all necessary paperwork for orders shipping on a Letter of Credit.
  • Maintain Belanger’s Import Compliance program.
  • Utilize SyteLine system to look up parts, process orders, review customer accounts, etc. 
  • Approve all freight bills for inbound and outbound shipments and send to Accounting personnel for payment.
  • Coordinate with Dover’s third party freight audit company to receive freight bills on timely basis.
  • Coordinate and file all necessary freight claims with carriers for inbound and outbound shipments.
  • Support the company’s safety program and help enforce and follow all safety and PPE requirements per established company policy.

Education Requirements

  • A bachelor’s degree is preferred.

 

Experience Requirements:

  • Basic knowledge of information flow involved in the shipping process, including both domestic and international shipping, is required.
  • Experience with import and export compliance is preferred.
  • Computer proficiency in a Windows environment is required, preferably with Microsoft Word, Excel, and Outlook.
  • Prior experience with SyteLine or related manufacturing software is required.
  • Must possess strong interpersonal and verbal communication skills to work     effectively with department personnel and with employees in other departments.
  • Must possess a high attention to detail and be able to work with a high degree of accuracy.
  • Experience with implementing and driving Lean Manufacturing principles is            preferred.
  • Must possess strong analytical and communication skills.
  • Must possess the ability to sit, stand, and bend for extended periods of time without a break.
  • Must possess an understanding of Bills of Material, and parts lists.
  • Equivalent combination of education and experience may be considered.

 

Quality Responsibilities:

  • Initiate action to prevent the occurrence of any non-conformities relating to product, process and quality systems.
  • Identify and record any problems relating to the product, process and quality system.
  • Initiate, recommend or provide solutions through designated channels.
  • Verify the implementation of solutions.
  • Control further processing, delivery or installation of non-conforming product until the deficiency or unsatisfactory condition has been corrected.
