Job Title:       Receptionist            

Location:       Phoenix, AZ             


What we are looking for:


We are looking for a Receptionist who will provide high-level administrative support to company leaders by answering incoming calls, directs callers to appropriate personnel, conducting research, preparing reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for leaders. This role will also assist in booking business travel as needed.


What you will be responsible for in this role:


  • Retrieves messages from voice mail and forwards to appropriate personnel
  • Answer phone calls and direct calls to appropriate parties or take messages
  • Answers questions about organization and provides callers with address, directions, and other information
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Updates appointment calendars
  • Receives, sorts, and routes mail, and maintains and routes publications
  • File and retrieve corporate documents, records and reports for departments
  • Open, sort and distribute incoming correspondence, including faxes and email
  • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
  • Perform general office duties such as ordering supplies and maintaining records management database systems
  • Coordinate meeting setup and implementation; oversee meeting room calendars
  • Make travel arrangements and generate itineraries for field employees and company leaders in company system
  • Assist with preparation of Purchase Orders
  • Assist with Expense Reporting review for the business as needed
  • Create shipping labels and tracking for business needs
  • Assist on other special projects or work from departments
  • Inventory office items and order them through vendors
  • Performs other clerical duties as needed, such as filing, photo copying, and collating.


What are the basic qualifications?


  • High School diploma or GED equivalent
  • Must have work experience in Microsoft Office
  • 2-3 Years Receptionist Experience
