What will You do

 

  • Provide Vice President of Asia with secretarial, administrative support including calendar management, business travel, meeting arrangements to claim process to confidential correspondences.
  • Facilitate weekly and monthly management meeting and ensure effective follow up of, action log completion from the stakeholders.
  • Coordinate the preparation and distribution of reports, agenda, presentations and other documents as needed.
  • Responsible in the office operations management that includes and not limited to office supplies, equipment, service matters, vendors , facilitates management
  • Manage contract and price negotiations with office vendors, service providers, and office lease.
  • Point of contact to work with respective local office admin in obtaining updates for Company Travel Policy.
  • Event Management - organize and provide recommendation and support on arrangement for regional meetings, trainings, workshops and Immersion trainings.  Events are handled entirely on remote
  • HR administrative support on-boarding and off-boarding of employees (name cards, access cards, workstation allocation, conduct brief orientation of the office premise)
  • Assisting HR in executing employee engagement initiatives.
  • Answering the general business line and handling queries
  • Ad-hoc assignments as required

 

What You need to have:

 

  • Diploma, Higher NITEC in any discipline
  • At least 5 years of experience in a similar role with a large, complex multi-national company
  • Ability to manage confidentiality to ensuring the close follow through with diverse internal and external stakeholders
  • Meticulous, action, results oriented to be able to multitask and handle changing timelines
  • Proficiency in MS Office (Excel, Word, and PowerPoint)
  • A good team player, with strong interpersonal, communication skills
