The Role
We are looking for Sales& Office Administrator who will support HR in coordinating and administering some HR programs and activities, perform a variety of administrative duties, support some finance and order management tasks.

What you will do:
業務内容:
HR Part人事
- Support HR in coordinating and administering some HR programs and activities at local, such as
海外の人事部門をローカルでサポート。人事に関連するプログラムや日本法人内での労務関連業務を管理、調整、またはレポート作成などをお任せします。
- Employee attendance tracking and reporting;
従業員の勤怠管理とレポート作成・提出
- Contact point to local employees and payroll vendor to provide the needed local documents for any changes, i.e. overtime, annual leaves, employee changes, social insurance registration and deregistration etc.
残業、年次休暇、従業員の入退社、社会保険の入会登録や解約などの変更に応じ必要な書類を提供、社労士への連絡窓口などの担当業務
- Annual health check administration for all employees;
全社員を対象とした年次健康診断の実施、管理業務
- Commuting Allowance update;
通勤手当の更新とレポート作成?提出
- Other ad hoc tasks assigned by manager;

Admin part総務
- Performs a variety of administrative duties, which may include company car management, Postage management, Office building management, expense reimbursement application and some other company documents etc. management.
社用車の管理?更新業務、郵便物の発送?受け取り?仕分け、オフィスビルの管理、経費精算申請業務、その他社内書類の管理など、さまざまな管理業務を行っていただきます。
- In charge of daily administrative operations, including reception, security, Office building maintenance & cleaning, office supply, postages etc. Also, In charge of duties for Purchase request & Purchase order of non-sales goods and services with SAP system.
受付、セキュリティ、オフィスビルのメンテナンス?清掃、事務用品の購入、宅急便や郵便物などの総務業務。また、SAPシステムを使用した発注書作成
- In charge of duties for company car leasing and arrangement for parking lots
社用車のリースや駐車場の手配、新規、更新などの業務
- Provide general admin support, including business cards and invitation letter etc.
名刺や招待状作成、その他総務全般に係る業務
- Coordinate the foreign visitors' visa, logistic arrangement etc.
外国人訪問客のビザ、現地でのロジやホテルなどのサポート業務
- Support office renovation project and moving project as required;
オフィスの改修プロジェクトや移転プロジェクトのサポート
- Support company activities, Annual Dinner and other big company events.
企業活動、年次夕食会、その他会社で開催するイベントサポート
- Set up laptop and company phone for new hire.
新入社員にむけたPCと会社携帯の調達、設定
- IT and System support. Single Point of Contact for Global IT and system team to implement the change.
ITとシステムのサポート。 グローバル IT チームおよびシステム チームと連携してシステム更新などがあれば対応する
- Response to phone calls using the system (Salesforce), creating tickets according to the content of the call
システム(セールスフォース)を使った電話対応、電話内容に応じたチケット作成
- Other administrative work as assigned.

- Supporting of mainly Accounts receivables and payables role remotely where finance shared service counterparts are located overseas and collaborate with them. Task assigned as

- Weekly Statement of Account to print out and send to customers
毎月数回発生する合計請求書の発送(月5回程度) 10 15 20 25 30日の翌日発送
- Scanning the Vendor Invoice and Customer payment advice to finance communication tool
業者からの請求書と顧顧客からの支払通知?検収明細等の対応業務(Scan)
- Preparing of internal Vendor master forms and request to set up in accounting system.
社内業者登録フォームの作成と申請。会計システムへの新規設定?アップデートのリクエスト
- Arranging Paper Promissory Notes to send to bank before maturity date.
手形管理業務(受取/取立依頼/領収書発行)
- Create Purchase Request/Order and conduct Good Receiving on SAP.
購入依頼書/注文書の作成、受領作業
- Employee travel expense to check status if original document arrives and filing the expense claims.
旅費精算ファイリング業務
- To respond Customer & Supplier's inquiries and communicate and discuss with Finance shared service for the necessary action to be taken.
経理関係での顧客/サプライヤー電話対応
- Ad-hoc Inquires from finance related instructed by Finance shared service.

What you need to have:
求めている人材【資格、経験】:
- Bachelor degree, 5 years office admin or business operation related experience in MNC in preferably B2B industry. Business English (TOEIC score over 700);
4年大学卒。外資企業での総務または事業運営関連業務を5 年以上経験、B2B 業界経験者を優先, ビジネスレベルの英語力(TOEIC score over700)
- SAP experience (PO, AP or SD) is a Plus
SAP の経験 (PO ,AP, SD) があれば尚良
- SFDC(SalesForce) experience is a Plus
セールスフォースがあれば尚良
- Good interpersonal relationship skills and team work ability;
優れた対人関係スキルとチームワークにおけるコミュニケーション能力
- Good numeracy and analytical abilities, with spreadsheet and database experience;
優れた計算能力と分析能力、集計表とデータベースの使用経験;
- Ability to multitask and meet changing deadlines
同時に複数の業務をこなすことができ、変則的な締め切りにも対応できる能力
- Excellent communication skills and Good English in both written and oral; Good skill in MS PowerPoint and Excel.
