Office Coordinator

As an Office Coordinator, you will be responsible for all office-related issues.

 

What you will do:

 

  • Managing equipment and supply needs (ordering and restock of furniture, telecommunications, IT, kitchen appliances, and office equipment / supplies)
  • Managing regular office equipment review, identifying needs for repairs and renovation (e.g., furniture, office equipment)
  • Serving as the primary point of contact for all facility-related issues
  • Responding to building emergencies rules and policies as needed and being a member of the emergency response team
  • Coordinating office and parking space allocation
  • Fleet management
  • Supporting the site manager in the planning and management of facility budget and local projects
  • Monitoring budget spendings, conducting market research for new services and evaluating current and future vendors’ offers
  • Maintaining, tracking, and recording of non-production invoices from external partners (e.g., suppliers, insurance agents, security guards)
  • Managing Reception activities (covering for post room/reception duties when required, greetings and assisting visitors, conference room booking system)
  • Planning, organizing and coordinating special events and celebrations
  • Entering Non-Production Purchase Requisitions to SAP for all cost centers and supporting in Concur policy fulfillment 
  • Support other teams with various administrative tasks (answering and redirecting calls, disseminating correspondence, scheduling meetings, preparation of invitation for foreign visitors etc.)

 

What you need to have:

 

  • Minimum of 2 years proven work experience as an Office Coordinator or similar role
  • Strong knowledge of office management operations
  • Familiarity with office equipment
  • Flexible and quickly adapting in a dynamic environment
  • Being proactive and taking responsibility of office functioning (5S/hospitality/CI)
  • Excellent organizational and communication skills
  • Reliable with patience and professionalism
  • Proficiency in MS Office
  • English (at least B2 level)
  • SAP knowledge will be a plus
  • Experience in facility management would be an advantage
