Position Summary:

The On-Site Office Administrative Assistant is responsible for supporting the Human Resources Manager in Wheeling, Illinois. S/he is responsible for greeting visitors, managing the reception area, answering telephone calls to the facility, and overseeing the mailroom, conference rooms, and break room to ensure a professional appearance. The Office Administrative Assistant supports the Wheeling leadership team with special projects as needed.  S/he will assist in implementing company initiatives and best practices.

 

     

Key Job Responsibilities included but not limited to:

  • Be the first point of contact for any visitors, including customers, vendors, and other DESTACO/Dover employees. Establishes and maintains a positive impression with guests in line with company expectations.
  • Assist the HR Manager with administrative duties.
  • Manage the reception area, conference rooms and break room to ensure that it supports the DESTACO image and is organized and aligned with our 6S Housekeeping guidelines.
  • Maintain all aspects of the mailroom including organization of room, office equipment (postage machine, copier), coordination of office shipping (UPS, Fed Ex, US Mail), and distribution of mail daily.
  • Purchase all administrative and break room supplies.
  • Coordinates with the employee uniform program and cafeteria vending machine company
  • Answer and route incoming telephone calls.
  • Greet all visitors and direct accordingly.
  • Assist Wheeling leadership team on projects including presentations, off-site meetings and coordination of travel.
  •  Leverages continuous improvement tools to drive continued operational improvements in area of responsibility.

Job Requirements:

Experience:

  • 2-5 years experience as an Administrative Assistant
  • Experience in Microsoft Office products

Education and Certification Qualifications:

  • Associates degree preferred

Schedule: 7:30am-4:30pm
